Waiver, consent & participation policies
Last updated: October 2026
These are the policies every family and adult athlete acknowledges when signing up with Leon Williams Jr. Performance Academy (“the Academy”, “we”). They exist to keep athletes safe, communication clear, and expectations fair. Please read them before completing the sign-up form.
Assumption of risk & liability waiver
Gymnastics, tumbling, acrobatics and movement training are physical activities that carry an inherent risk of injury, including falls, strains, sprains, fractures and, in rare cases, serious injury. Coaching, spotting, progressive skill development and proper equipment reduce these risks but cannot eliminate them.
By checking the acknowledgment box on the sign-up form, the participant (or the parent/legal guardian of a minor participant) confirms that they:
- understand and voluntarily accept the risks of participation;
- confirm the participant is physically able to take part and will disclose any medical condition, injury or limitation that could affect safe participation;
- agree to follow the coach's instructions, facility rules and the policies on this page;
- release and hold harmless Leon Williams Jr. Performance Academy, its coaches, staff, volunteers and any host facility from claims arising from ordinary participation, to the fullest extent permitted by law, except where caused by gross negligence or willful misconduct.
The electronic acknowledgment on the sign-up form has the same effect as a signed paper waiver. A paper copy is available on request.
Emergency medical authorization
If a participant is injured or becomes ill during an Academy activity and the parent/guardian or emergency contact cannot be reached, the participant (or their parent/guardian) authorizes Academy staff to seek emergency medical care, including calling emergency services and arranging transport. Any costs of such care are the responsibility of the participant or their family. Please keep your emergency contact and medical notes up to date by letting us know of any change.
Participation & conduct
- Athletes arrive ready to train: appropriate athletic clothing, hair tied back, no jewelry, and water.
- Skills are introduced progressively. Athletes attempt new skills only when the coach indicates they are ready and only with the coach present.
- We expect respect, effort and kindness from athletes, parents and coaches alike. The Academy may pause or end participation where behavior puts safety or the training environment at risk.
- Parents and caregivers are welcome to observe from designated areas and are asked not to coach from the sideline during sessions.
Drop-off, pick-up & supervision
Athletes under 18 are supervised by Academy staff only during their scheduled session. Please arrive no more than ten minutes before a session and pick up promptly at the end. Minors will be released only to the parent/guardian or to the adults named as authorized pickup on the sign-up form; let us know in advance if someone else will be collecting your athlete. For Coffee & Cartwheels and other caregiver-and-child programs, the attending adult remains with and responsible for the child throughout.
Scheduling, cancellation & refunds
- Private, semi-private and small-group sessions: please give at least 24 hours' notice to reschedule. Sessions cancelled with less notice, or missed without notice, may be counted as used.
- Classes and multi-week sessions: tuition reserves the athlete's place for the full session and is not pro-rated for missed classes. Where space allows, a make-up class may be offered within the same session.
- Clinics, workshops and events: registrations are transferable to another athlete. Refunds are offered when the Academy cancels an event or when a cancellation is received at least 7 days before the event date.
- Illness and injury: please keep athletes home when they are unwell. Extended absences for medical reasons will be handled individually and fairly — just talk to us.
- Academy cancellations: if we must cancel for weather, facility or coach availability, we will reschedule or credit the session.
- Packages: session packages are valid for the period shown at purchase and are not transferable to another family without approval.
Photo & video permission
From time to time we photograph or film training to review technique with athletes and to share the Academy's work on our website and social media. Photo and video permission is optional and is granted (or declined) on the sign-up form. If permission is declined, we will not knowingly publish identifiable images of that athlete. Coaching video used only for skill feedback with the athlete and their family is not published. You can change your choice at any time by emailing [email protected].
Text message (SMS) & email communications
Service messages. By providing a phone number and email address and checking the service-communications box, you agree to receive messages about your own participation: confirmations, schedule changes, cancellations, reminders, waitlist openings and account or payment notices. Message frequency varies with your schedule. Standard message and data rates may apply.
Marketing messages (news, new programs, events and offers) are sent only if you opt in separately on the form. You can opt out at any time.
Opting out. Reply STOP to any text to stop receiving texts, or reply HELP for help. Use the unsubscribe link in any marketing email, or email [email protected]. Opting out of marketing does not stop essential service messages about sessions you are registered for. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
